Packaging Returns Basics

The return transport and cost are Packaging User’s responsibility according to the following circumstances:

  • Surplus packaging received in filled flows.
  • Surplus packaging from bundles of packaging (surrounding packaging) that will not be used for onward shipment of parts.
  • Overstock caused by end of contract, overordering, etc.

 

The packaging may in some cases be used for new shipments of material to your suppliers / customers rather than ‘released’ back to us. If you would like to discuss this possibility with us for some, or all the redundant packaging please contact us by placing a ticket.

 

Please note, no packaging should be sent to a non-approved or unregistered site and all packaging re-use needs to be approved prior to any new flows being implemented.

 

Important to do the following:

  • Obligatory to contact the terminal to schedule the timeslot for unloading, confirm opening hours
    and avoid waiting time. Note that the Gent & Gothenburg terminals have dedicated booking systems that should be used, see more information below.
  • Register and goods issue an outgoing Delivery Note in LES WEB application to the terminal where you will return it. See instructions for LES here
  • Make sure that the driver has a copy of the Delivery Note, so that the terminal can identify the
    packaging return from your company.
  • Instruct the transport company that the trailer returning the packaging must be able to be
    opened on the left side (tautliner).
  • Please also see below check list


Safety rules must be respected on the terminal area, otherwise the terminal can refuse to off-load
the packaging.

  • Introduction

    • The purpose of this section:

      Is to inform and describe in brief the rules and routines for the return of Volvo Group Logistic Services (V-EMB) standard packaging.

      This handbook applies primarily to users who will be returning surplus packaging on a regular basis.

      At some point in the future, your company may be confronted with redundant V-EMB Packaging. The packaging may in some cases be used for new shipments of material to your suppliers / customers rather than ‘released’ back to us.

      If you would like to discuss this possibility with us for some, or all the redundant packaging please contact us.

       

      Please note, no packaging should be sent to a non-approved or unregistered site, we must be informed, and all packaging re-use needs to be approved prior to any new flows being implemented.

       

      If redundant packaging cannot be re-used, then it will need to be returned (often referred to as ‘Release’) the following information attempts to answer most of the more common questions that arise from this function.

Sorting and packaging

What is sorting?

Before returning the packaging back to us, broken and damaged material needs to be

separated and any rubbish / old labels need to be removed.

The aim is to make bundles containing only conforming material or bundles containing

only non-conforming (damaged) material.

In some cases, packaging may need to be sorted for washing.

All sorting is to be done according to our ‘Sorting instructions’. These instructions can be

found in the LES system in the catalogue section or can be obtained from one of our

inspectors.

 

Why do we have to quality inspect the packaging, isn’t that Volvo Logistics’ job?

Primarily, this is due to transport costs. Most V-EMB packaging is collapsible to reduce

volumes when empty. Once bundled, removal of damaged or non-conforming pieces

later, would involve repeat handling at our terminals.

Therefore, the quality control is given to the releaser – which is stated as such in our

contract. This way of operating reduces the overall usage costs.

Correctly released packaging - once received back at one of our packaging Terminals can

then be routed directly to the next user.

 

How long does it take to inspect each piece of packaging?

Not long – once operators are experienced, most pieces can be inspected in a little over

the time it takes to stack each piece.

More detailed analysis / typical times can be obtained from V-EMB Packaging

inspectors.

 

Will we be invoiced for damaged packaging?

We appreciate that some damage to our product is inevitable; The V-EMB transaction

cost (which is being paid for the use of the packaging) includes a provision for wear and

tear on our products.

We will not invoice for damages, unless it is being caused by bad handling, malpractice,

or deliberate misuse.

Damaged packaging that is found mixed with OK in the same bundles – will be repacked

at the Terminal and is likely to result in a resorting charge to yourselves.

Never scrap damaged packaging (however bad) as it remains on your balance. please

return it back to us with the rest of your damaged returns.

 

Packing and bundling -What is bundling?

During or after sorting, the packaging needs to be stacked in standardised fixed

quantities & configured bundles, we describe this as ‘bundling’.

Our packing instructions give comprehensive details of quantities, configuration, banding,

labelling etc. These instructions can be found in the LES system, catalogue section or can

be obtained from one of the V-EMB inspectors.

Standardised bundles enable easier handling and counting; both at your and our site.

 

Sorting instructions – Giving the quality standards required for packaging.
Additional instructions with photographic examples are also available for some types.

Packing Instructions – Giving the quantity and configuration required for bundles.

 

Organization and Tools

Area:
A sufficient area needs to be allocated for Sorting, Bundling, Storing, and handling of the packaging, some of which may need to be indoor / covered depending on the packing specifications as some types require that they are kept 100 % dry.

Outdoor sorting and storage can be used for many types, your V-EMB Inspector will be able to assist in calculating the area required.

Bundles ready for return need to be stored on a hard well-drained surface.

 

Sorting fixtures: (fig I)
We recommend that ‘Sorting fixtures’ are used; fixtures are essentially a steel assembly
designed to elevate & contain the packaging until banded.

It is important that the packaging is straight & uniformly stacked, trailer volumes for both you and Volvo Logistics will be adversely affected if this is not the case.

These fixtures are also recommended for ergonomic reasons. The fixtures come in various
sizes, and we strongly recommend pairs, (one for OK & one for Damaged).

We no longer supply fixtures – but your Inspector can provide you with technical
drawings for you to arrange fabrication yourselves.

 

Plastic Covers: (fig II)

As specified in the ‘Packing Instruction’ some types of inserts and spacers need
additional protection from the weather or contamination and must be covered by a
plastic cover*.

The cost of these covers is to be paid by you -the releaser and will need to be budgeted
for in any initial / on-going calculations.

We no longer supply these covers, but your Inspector can provide you with technical
drawings and specifications for you to purchase yourselves. Supplier companies and
contact details available on request.

*Exceptions may apply in some instances and packaging may be shipped without covers – please
contact you Inspector for more details.

 

Strapping tooling: (fig III)

Only plastic strapping / banding is permitted.

We recommend Extruded Polyester band no less than 15 mm x 0.6 mm. (4,000 Newton – 9% Tension / 440 kg breaking strain)  Vibration /friction welded joints.

The use of metal clasps can only be accepted as a temporary solution to give you the
time to purchase conforming tooling. Specification sheet & additional information is
available from your V-EMB packaging Inspector.

Labels: (fig IV)

All bundles need to be marked with releaser labels.
These labels are needed to describe the content, identify the releaser, or highlight
damaged packaging. When & how to use these labels - is described in the Sorting and
Packing instructions.

These labels can be ordered from us, by filling in the order form
(to be found in Supplier Portal – under Return of empties / Marking Labels )
these are provided free of charge, unless stated otherwise in the order form.

 

Tools and equipment
Packaging can be heavy ,bundles of frames can weigh as much as 660kg.

Suitable lifting and handling equipment will be needed. The usual considerations of
turning room, mast height , fork length etc will need to be factored in. We will be more
than happy to discuss these requirements with you.

In addition to lifting equipment other tools will be needed or may assist with the
sorting process.

Assistance and Cost

What assistance can Volvo Logistics give us with release?

We have a team of quality inspectors who will be only too glad to assist in any set up or
operational discussions.

They can provide onsite training and can be contacted with any queries you may have.

We will always give you some training and a sufficient learning period before any possible
invoicing for non-conformities.


What happens if we don’t do any quality inspection, or don’t follow the packing
instructions?

We reserve the right to charge back for time taken at the terminal to bring the released
packaging back to the approved standard (see the User contract).

The Terminal will issue a resorting report, mentioning type, quantity of packaging and the
reason for non-conformity.

The Resorting report provides you with time spent on re-checking, re bundling and may
include photographs for clarification if required.

The inspector will send this info to the releaser ASAP after issue date.

We would prefer not to do any sorting – is that possible?

In some instances, ourselves or our chosen service provider at the Terminal may be able to
offer you a service contract. To take over some, or the entire job. If this interests you,

How much will the sorting cost?

The cost depends on the amount of packaging involved. You need to budget for manpower,
area & tooling (fixtures, Plastic covers & strapping equipment etc.)

We will be only too happy to help you with these calculations.


What other costs are there?

There are no transaction costs involved for the return of empty standard packaging to a
Packaging terminal.

No cost for damage (if within the acceptable limits).

Damage during transport - is under the releasers responsibility so care needs to be taken
when loading & securing of that load, whilst in transit.

Transport frequency of empty returns will need to be balanced against any possible overstock charges and the transport costs themselves.

Transport

Where do we have to send the released packaging to?

Please contact us to check which Terminal you must send the packaging to. Volvo logistics
will try to find the nearest Terminal that is best suited for both parties.

Who organises and pays for the return transport?

The return transport arrangement and costs are your responsibility. As set out in the user
agreement, please contact us if you have any queries about this issue.


Do you have any rules regarding the type of transport used?

The packaging must be in a covered vehicle, it must be secure & appropriate for the task.
Containers, solid sided or box vehicles only if pre-approved, as some terminals may have
limited or no raised loading bays or ramps.

Do you have any rules regarding the Drivers & Vehicles at your terminals?

Drivers whilst on the Terminal’s site must abide by any local rules.
These will be available on request once on site or can be obtained from your Inspector.
They may include:

  • Ensuring the driver has a Packaging Delivery note.
  • Deliveries arriving at our Packaging Terminals without paperwork will not be
    unloaded.
  • Registration of presence at traffic office upon arrival.
  • Surrender of vehicle keys during loading.
  • Slot times (time windows) for arriving trucks. Please contact us for more info.
  • First come – First serve – ( queuing systems).
  • The wearing of High Visibility vests.
  • No Smoking – Or only in designated areas.

Failure of Drivers to adhere to Vehicle Safety and basic site rules- may result in the vehicle
being turned away.

 

 

Administration

Is there any administration involved?

Yes we have our Web application (LES).

This is very similar in style and structure to online banking applications.
Packing is ordered ( If required), monitored & booked from your account by using this online
tool.

Separate, more detailed information on using your online account can be obtained by visiting
us online or by contacting us.

In Short, the administration includes:

  • Delivery notes
    Unless you have an agreement to the contrary, you will need to create a Packaging Delivery
    note in LES for the empty return shipments to a Volvo Packaging Terminal. A printed copy of the Delivery note should always be handed over by the driver when presenting themselves at one of our Packaging Terminals. Damaged packaging; although separately bundled should be counted and reported in the same volumes as okay material.
  • Inventory control & Incoming checks
    At agreed periods You will also be asked to count Volvo Logistics packaging on your site –
    Including filled, empty, damaged, or good and report the numbers into the LES web
    application. We also strongly advise that all received packaging from your customers or suppliers are also checked against the incoming Delivery notes or on the LES web application.
  • Resort reports
    If a released load has been found to be incorrect when received at a Terminal, a report will be
    generated showing the delivery details – and the remedial actions taken to correct. Please take any actions needed to prevent re-occurrence. There may also be a rechange of costs from us to yourselves.

Resorting reports - explained.

 

  1. Load details -  Various – details of received load.

  2. Packaging Type - States the Packaging number that has been re-sorted.

  3. Quantity - States the quantity that has been re-sorted.

  4. Fault / Cause -  Explains the reason for the re-sorting.

  5. Minutes - Gives the amount of time taken to rectify the fault.

  6. Invoice minutes / hours - This is the amount of time you will be invoiced for *

  7. Photograph - Report may include photos to help clarify issues.

  8. Category - If not a ‘Standard resort’ reason why invoice not issued

* NB. In some instances, resorting reports may be sent directly from the Terminal to your
company , therefore the Invoice minutes total may not be the amount to be charged, your
area Inspector will advise you of any possible reductions to this amount later.

 

I have received a resorting report – what do I do next?

Take effective actions to ensure that the issue or issues on the report do not re- occur,
this may involve refresher training.

If you require additional support, we will be only too pleased to assist.
Please do not contact our Terminals regarding discussions about resorting.

Instruções para registro de EMBALAGENS VAZIAS

1. Para fazer envios para o terminal de Curitiba – Somente Embalagens Vazias

Opção : “Outgoing”

Clicar na aba “Create”

Selection action “Return packaging to terminal”

Select destination “Volvo Packaging Curitiba”

Select material Type “Single Material” para inserir as quantidades em unidades ou “Bundle Material” para inserir a quantidade em fardos.

Obs: Qualquer um dos dois pode ser usado, contanto que as quantidades estejam corretas.

 

2. Editar a quantidade da embalagem que será devolvida - Next

3. Selecionar Delivery Date(Dia de envio) - Submit.

4. Para finalizar:

1 - Clique na aba “SEND”.

2 - Procure o delivery a ser finalizado e clique em cima do número do delivery.

3 - Em seguida clique no botão ‘VIEW DELIVERY , para abrir o delivery.

4 - Preencha o número da nota fiscal nos campos “EXTERNAL DELIVERY NOTE e CARRIER ID”.

5 - Clique em “SAVE HEADER CHANGES”, irá aparecer a mensagem “Delivery updated”.

6 - Clique em OK, em seguida clique no botão “GOOD ISSUE” para finalizar o delivery, irá aparecer um documento chamado “DELIVERY NOTE

7 - Imprima somente a primeira página da delivery note que deverá ser encaminhado junto com as embalagens.

  • Introduction

  • The purpose of this section is to inform and describe in brief the rules and routines for the return of Volvo Group Logistic Services (V-EMB) standard packaging.

    This handbook applies primarily to users who will be returning surplus packaging on a regular basis.

    At some point in the future, your company may be confronted with redundant V-EMB Packaging. The packaging may in some cases be used for new shipments of material to your suppliers / customers rather than ‘released’ back to us.

    If you would like to discuss this possibility with us for some, or all the redundant packaging please contact us.

     

    Please note, no packaging should be sent to a non-approved or unregistered site, we must be informed, and all packaging re-use needs to be approved prior to any new flows being implemented.

     

    If redundant packaging cannot be re-used, then it will need to be returned (often referred to as ‘Release’) the following information attempts to answer most of the more common questions that arise from this function.

  • This handbook is primarily for:
    • Surplus packaging received in filled flows from suppliers to you.
    • Surplus packaging received from us as ‘outer packaging’ that is not going to be used for onward shipment of parts.
    • Overstock stock caused by supplier (Over ordered ?/ wrong quantity or end of contract .)

  • This handbook is not for:

    • Packaging wrongly delivered by us.
    • Rejected packaging received from us that does not conform to our standards.

Sorting and Packaging

What is sorting?

Before returning the packaging back to us, broken and damaged material needs to be

separated and any rubbish / old labels need to be removed.

The aim is to make bundles containing only conforming material or bundles containing

only non-conforming (damaged) material.

In some cases, packaging may need to be sorted for washing.

All sorting is to be done according to our ‘Sorting instructions’. These instructions can be

found in the LES system in the catalogue section or can be obtained from one of our

inspectors.

 

Why do we have to quality inspect the packaging, isn’t that Volvo Logistics’ job?

Primarily, this is due to transport costs. Most V-EMB packaging is collapsible to reduce

volumes when empty. Once bundled, removal of damaged or non-conforming pieces

later, would involve repeat handling at our terminals.

Therefore, the quality control is given to the releaser – which is stated as such in our

contract. This way of operating reduces the overall usage costs.

Correctly released packaging - once received back at one of our packaging Terminals can

then be routed directly to the next user.

 

How long does it take to inspect each piece of packaging?

Not long – once operators are experienced, most pieces can be inspected in a little over

the time it takes to stack each piece.

More detailed analysis / typical times can be obtained from V-EMB Packaging

inspectors.

 

Will we be invoiced for damaged packaging?

We appreciate that some damage to our product is inevitable; The V-EMB transaction

cost (which is being paid for the use of the packaging) includes a provision for wear and

tear on our products.

we will not invoice for damages, unless it is being caused by bad handling, malpractice,

or deliberate misuse.

Damaged packaging that is found mixed with OK in the same bundles – will be repacked

at the Terminal and is likely to result in a resorting charge to yourselves.

Never scrap damaged packaging (however bad) as it remains on your balance. please

return it back to us with the rest of your damaged returns.

 

Packing and bundling -What is bundling?

During or after sorting, the packaging needs to be stacked in standardised fixed

quantities & configured bundles, we describe this as ‘bundling’.

Our packing instructions give comprehensive details of quantities, configuration, banding,

labelling etc. These instructions can be found in the LES system, catalogue section or can

be obtained from one of the V-EMB inspectors.

Standardised bundles enable easier handling and counting; both at your and our site.

 

Sorting instructions – Giving the quality standards required for packaging.
Additional instructions with photographic examples are also available for some types.

Packing Instructions – Giving the quantity and configuration required for bundles.

 

Organisation and Tools

Area:
A sufficient area needs to be allocated for Sorting, Bundling, Storing, and handling of thepackaging, some of which may need to be indoor / covered depending on the packingspecifications as some types require that they are kept 100 % dry.Outdoor sorting and storage can be used for many types, your V-EMB Inspector will beable to assist in calculating the area required.
Bundles ready for return need to be stored on a hard well-drained surface.


Sorting fixtures: (fig I)
We recommend that ‘Sorting fixtures’ are used; fixtures are essentially a steel assembly
designed to elevate & contain the packaging until banded. It is important that the
packaging is straight & uniformly stacked, trailer volumes for both you and Volvo
Logistics will be adversely affected if this is not the case.
These fixtures are also recommended for ergonomic reasons. The fixtures come in various
sizes, and we strongly recommend pairs, (one for OK & one for Damaged).
We no longer supply fixtures – but your Inspector can provide you with technical
drawings for you to arrange fabrication yourselves.


Plastic Covers: (fig II)
As specified in the ‘Packing Instruction’ some types of inserts and spacers need
additional protection from the weather or contamination and must be covered by a
plastic cover*.
The cost of these covers is to be paid by you -the releaser and will need to be budgeted
for in any initial / on-going calculations.
We no longer supply these covers, but your Inspector can provide you with technical
drawings and specifications for you to purchase yourselves. Supplier companies and
contact details available on request.
*Exceptions may apply in some instances and packaging may be shipped without covers – please
contact you Inspector for more details.


Strapping tooling: (fig III)
Only plastic strapping / banding is permitted.
We recommend Extruded Polyester band no less than 15 mm x 0.6 mm.
(4,000 Newton – 9% Tension / 440 kg breaking strain)  Vibration /friction welded joints.
The use of metal clasps can only be accepted as a temporary solution to give you the
time to purchase conforming tooling. Specification sheet & additional information is
available from your V-EMB packaging Inspector.


Labels: (fig IV)
All bundles need to be marked with releaser labels.
These labels are needed to describe the content, identify the releaser, or highlight
damaged packaging. When & how to use these labels - is described in the Sorting and
Packing instructions.
These labels can be ordered from us, by filling in the order form
(to be found in Supplier Portal – under Return of empties / Marking Labels )
these are provided free of charge, unless stated otherwise in the order form.

Tools and equipment
Packaging can be heavy ,bundles of frames can weigh as much as 660kg.
Suitable lifting and handling equipment will be needed. The usual considerations of
turning room, mast height , fork length etc will need to be factored in. We will be more
than happy to discuss these requirements with you.

In addition to lifting equipment
other tools will be needed or may assist with the
sorting process.

Assistance and Cost

What assistance can Volvo Logistics give us with release?
We have a team of quality inspectors who will be only too glad to assist in any set up or
operational discussions.
They can provide onsite training and can be contacted with any queries you may have.
We will always give you some training and a sufficient learning period before any possible
invoicing for non-conformities.


What happens if we don’t do any quality inspection, or don’t follow the packing
instructions?
We reserve the right to charge back for time taken at the terminal to bring the released
packaging back to the approved standard (see the User contract).
The Terminal will issue a resorting report, mentioning type, quantity of packaging and the
reason for non-conformity.
The Resorting report provides you with time spent on re-checking, re bundling and may
include photographs for clarification if required.
The inspector will send this info to the releaser ASAP after issue date.

We would prefer not to do any sorting – is that possible?
In some instances, ourselves or our chosen service provider at the Terminal may be able to
offer you a service contract. To take over some, or the entire job. If this interests you,
please contact Our Inspector team

How much will the sorting cost?
The cost depends on the amount of packaging involved. You need to budget for manpower,
area & tooling (fixtures, Plastic covers & strapping equipment etc.)
We will be only too happy to help you with these calculations.


What other costs are there?
There are no transaction costs involved for the return of empty standard packaging to a
Packaging terminal.
No cost for damage (if within the acceptable limits).
Damage during transport - is under the releasers responsibility so care needs to be taken
when loading & securing of that load, whilst in transit.
Transport frequency of empty returns will need to be balanced against any possible Stock /
rental charges and the transport costs themselves.

Transport

Where do we have to send the released packaging to?
Please contact us to check which Terminal you must send the packaging to. Volvo logistics
will try to find the nearest Terminal that is best suited for both parties.

Who organises and pays for the return transport?
The return transport arrangement and costs are your responsibility. As set out in the user
agreement, please contact us if you have any queries about this issue.


Do you have any rules regarding the type of transport used?
The packaging must be in a covered vehicle, it must be secure & appropriate for the task.
Containers, solid sided or box vehicles only if pre-approved, as some terminals may have
limited or no raised loading bays or ramps.

Do you have any rules regarding the Drivers & Vehicles at your terminals?
Drivers whilst on the Terminal’s site must abide by any local rules.
These will be available on request once on site or can be obtained from your Inspector.
They may include:

  •  Ensuring the driver has a Packaging Delivery note.
  • Deliveries arriving at our Packaging Terminals without paperwork will not be
    unloaded.
  • Registration of presence at traffic office upon arrival.
  • Surrender of vehicle keys during loading.
  • Slot times (time windows) for arriving trucks. Please contact us for more info.
  • First come – First serve – ( queuing systems).
  • The wearing of High Visibility vests.
  • No Smoking – Or only in designated areas.

Failure of Drivers to adhere to Vehicle Safety and basic site rules- may result in the vehicle
being turned away.

 

Administration

Is there any administration involved?
Yes …. we have our Web application. (LES)
This is very similar in style and structure to online banking applications.
Packing is ordered ( If required), monitored & booked from your account by using this online
tool.
Separate, more detailed information on using your online account can be obtained by visiting
us online or by contacting us.


in Short, the administration includes:
Delivery notes
Unless you have an agreement to the contrary, you will need to create a Packaging Delivery
note in LES for the empty return shipments to a Volvo Packaging Terminal.
A printed copy of the Delivery note should always be handed over by the driver when
presenting themselves at one of our Packaging Terminals.
Damaged packaging; although separately bundled should be counted and reported in the
same volumes as okay material.


Inventory control & Incoming checks
At agreed periods You will also be asked to count Volvo Logistics packaging on your site –
Including filled, empty, damaged, or good and report the numbers into the LES web
application.
We also strongly advise that all received packaging from your customers or suppliers are also
checked against the incoming Delivery notes or on the LES web application.


Resort reports
If a released load has been found to be incorrect when received at a Terminal, a report will be
generated showing the delivery details – and the remedial actions taken to correct.
Please take any actions needed to prevent re-occurrence.
There may also be a rechange of costs from us to yourselves.

Resorting reports - explained.

 

  1. Load details -  Various – details of received load.
  2. Packaging Type - States the Packaging number that has been re-sorted.
  3. Quantity - States the quantity that has been re-sorted.
  4. Fault / Cause -  Explains the reason for the re-sorting.
  5. Minutes - Gives the amount of time taken to rectify the fault.
  6. Invoice minutes / hours - This is the amount of time you will be invoiced for *
  7. Photograph - Report may include photos to help clarify issues.
  8. Category - If not a ‘Standard resort’ reason why invoice not issued

* NB. In some instances, resorting reports may be sent directly from the Terminal to your
company , therefore the Invoice minutes total may not be the amount to be charged, your
area Inspector will advise you of any possible reductions to this amount later.

 

I have received a resorting report – what do I do next?
Take effective actions to ensure that the issue or issues on the report do not re- occur,
this may involve refresher training.
If you require additional support, we will be only too pleased to assist.
Please do not contact our Terminals regarding discussions about resorting.

 

Check List

Pre- Shipping Check list …

  • Are the bundles sorted and packed according to the instructions?
  • Are the bundles stacked straight and stable?
  • Are the bundles strapped correctly and in a safe way?
  • Do the boxes with spacers have the correct plastic cover?
  • Do all the bundles have the correct labels attached?
  • Are the bundles correctly loaded and secured on the truck (internal Lashings) when leaving your plant?
  • Does the Driver have the correct documents for arrival at the Terminal
